2027 Portland Roadster Show Terms, Conditions & Release

By submitting a Vehicle Exhibitor Application for the 2027 Portland Roadster Show, the applicant (“Exhibitor”) applies to the Multnomah Hot Rod Council / Portland Roadster Show (“PRS/MHRC”) to display the vehicle identified in the Exhibitor Application.

By checking the required acceptance box and submitting an Exhibitor Application, the Exhibitor acknowledges that they have read, understand, and agree to the following Terms, Conditions, Rules and Release provisions.

Submission of an application does not guarantee acceptance into the Portland Roadster Show or placement within any particular hall or location. Each vehicle requires a separate and complete Exhibitor Application.

1. Show Rules & Exhibitor Compliance

The Portland Roadster Show shall be produced in accordance with Portland Roadster Show classifications, rules, regulations, policies, and any additional rules adopted or established by PRS/MHRC or the Show Producer as of the date of the show.

The Exhibitor agrees to comply with all such rules, regulations and policies.

PRS/MHRC and the Show Producer shall have final authority regarding the Exhibitor’s compliance with show rules and the location and placement of the Exhibitor’s vehicle and display within the show.

2. Vehicle & Display Placement

The Show Producer has final authority to determine the location of each vehicle and display.

Display locations may change as necessary due to show planning, safety requirements, facility requirements or other operational considerations.

Standard display spaces are generally 10′ x 20′ for cars and trucks and 10′ x 10′ for motorcycles. Larger display spaces are available only at the discretion and approval of the Show Producer. Displays must remain within their designated space and may not obstruct the view of other vehicles or displays.

3. Vehicle & Display Removal

Once an Exhibitor’s vehicle and/or display has been set up inside the show, it may not be moved, removed or concealed before the conclusion of the show without permission from the Show Manager/Producer.

Violation of this requirement may result in removal from the judging competition.

Displays may not be dismantled and vehicles may not be removed until the show has officially been announced closed on Sunday.

All vehicles must be removed from the facility by 11:59 p.m. Sunday evening. Vehicles remaining after that time may be towed at the owner’s expense.

4. Vehicle Safety & Inspection Requirements

All vehicles and entries, whether operable or not, including bare shells and chassis, must successfully complete the required safety inspection.

The Exhibitor agrees to comply with applicable Uniform Fire Code requirements and Portland Roadster Show safety requirements, including:

Vehicle must contain less than one-quarter (1/4) tank of fuel or entry into the building may be denied.
Gas caps must be taped.
Battery cables must be disconnected and cable ends taped before safety inspection.
Vehicle batteries, whether installed in or removed from the vehicle, may not be used as a power supply.
Hay and emergency flares are prohibited in displays.
Compressed gas cylinders of any type are prohibited.

A vehicle moved after inspection must be reinspected.

Failure to comply with safety requirements may result in the vehicle being declared ineligible and removed from the show. If towing is required, towing shall be at the owner’s expense and entry fees will not be refunded.

5. Loss, Damage, Insurance & Assumption of Responsibility

Neither the Show Producer, sponsors, their officers, directors or shareholders, nor the owner of the building in which the show is produced shall be responsible or liable for loss of or damage to any portion of the Exhibitor’s personal property.

This includes, but is not limited to, the Exhibitor’s:

Vehicle
Trailer
Display materials
Parts
Other personal property

The Exhibitor waives any rights they may have against such parties for loss or damage to this property.

The Exhibitor agrees to obtain appropriate insurance coverage for their property and assumes full responsibility for any loss or damage.

6. Entire Agreement & Arbitration

The Exhibitor agrees that the accepted Exhibitor Application and these Terms, Conditions and Release provisions supersede prior agreements or understandings, whether written or oral, between the Exhibitor and the Producer, show staff, representatives and subcontractors regarding the Exhibitor’s participation.

These terms may not be modified except by agreement of the Producer in writing.

The parties agree that disagreements shall be decided by arbitration in the state in which the show is produced.

7. Commercial Advertising

Commercial advertising is not permitted with vehicle entries unless it is associated with paid commercial space.

A single sign may be used to identify major vehicle modifications, who performed the work, and equipment used. Large advertising signs, handbills and distribution of business cards are prohibited unless otherwise authorized as part of commercial space.

8. Photography, Publicity & Media Release

In consideration of participation in the Portland Roadster Show, the vehicle owner, spouse and guests agree to permit PRS/MHRC or its assigns to use their names and photographs or images of the entered vehicle for publicity, advertising and commercial purposes before, during and after the event.

This may include use in newspapers, magazines, radio, television, websites, social media, Internet advertising, promotional materials and other media.

The Exhibitor relinquishes rights to photographs taken in connection with the event and grants PRS/MHRC or its assigns permission to publish, use, sell or otherwise dispose of such photographs. Publicity and advertising rights are reserved by PRS/MHRC or its assigns.

9. Submitted Vehicle Photos

Photos submitted with an Exhibitor Application may be used in connection with selection of the vehicle and may also be used in the Portland Roadster Show souvenir program and other show-related purposes.

PRS/MHRC reserves the right to use submitted vehicle photographs before and after the show.

10. Electrical & Display Requirements

Exhibitors requiring electrical service are responsible for separately coordinating and contracting for electrical service through the Portland Expo Center’s electrical contractor.

Vehicle batteries may not be used as a power source. Lighting must comply with applicable show, facility and fire-safety requirements and must not create a hazard or glare for show attendees.

11. Judging

Vehicle classifications are determined by the show’s judges.

The Head Judge’s rulings are final and are not subject to negotiation.

An Exhibitor may elect to remove their vehicle from judging; however, doing so does not entitle the Exhibitor to a refund.

12. Application, Acceptance & Fees

Submission of an Exhibitor Application does not guarantee acceptance into the Portland Roadster Show or placement in any particular hall or display location.

Incomplete applications may not be considered.

Group applications do not guarantee acceptance of every individual vehicle submitted as part of the group.

If an application is accepted, the Exhibitor will receive acceptance information and additional show instructions. The acceptance information must correspond to the vehicle presented at move-in.

Application fees are non-refundable except where PRS/MHRC expressly determines otherwise or as otherwise stated during the online registration/payment process.

13. Agreement to These Terms

By checking the acceptance box on the online Vehicle Exhibitor Application and submitting the application, the Exhibitor acknowledges that they:

Have read and understand these Terms, Conditions and Release provisions; agree to comply with Portland Roadster Show rules, regulations, policies and safety requirements; agree to the release, waiver, media-use and arbitration provisions stated above; and understand that submission of an application does not guarantee acceptance into the show.

The Exhibitor further acknowledges that acceptance of these terms is required to submit the online Vehicle Exhibitor Application.

AGREEMENT BETWEEN USER AND Portland Roadster Show

The Portland Roadster Show Web Site is comprised of various Web pages operated by Portland Roadster Show.

The Portland Roadster Show Web Site is offered to you conditioned on your acceptance without modification of the terms, conditions, and notices contained herein. Your use of the Portland Roadster Show Web Site constitutes your agreement to all such terms, conditions, and notices.

MODIFICATION OF THESE TERMS OF USE

Portland Roadster Show reserves the right to change the terms, conditions, and notices under which the Portland Roadster Show Web Site is offered, including but not limited to the charges associated with the use of the Portland Roadster Show Web Site.

LINKS TO THIRD PARTY SITES

The Portland Roadster Show Web Site may contain links to other Web Sites (“Linked Sites”). The Linked Sites are not under the control of Portland Roadster Show and Portland Roadster Show is not responsible for the contents of any Linked Site, including without limitation any link contained in a Linked Site, or any changes or updates to a Linked Site. Portland Roadster Show is not responsible for webcasting or any other form of transmission received from any Linked Site. Portland Roadster Show is providing these links to you only as a convenience, and the inclusion of any link does not imply endorsement by Portland Roadster Show of the site or any association with its operators.

NO UNLAWFUL OR PROHIBITED USE

As a condition of your use of the Portland Roadster Show Web Site, you warrant to Portland Roadster Show that you will not use the Portland Roadster Show Web Site for any purpose that is unlawful or prohibited by these terms, conditions, and notices. You may not use the Portland Roadster Show Web Site in any manner which could damage, disable, overburden, or impair the Portland Roadster Show Web Site or interfere with any other party’s use and enjoyment of the Portland Roadster Show Web Site. You may not obtain or attempt to obtain any materials or information through any means not intentionally made available or provided for through the Portland Roadster Show Web Sites.

USE OF COMMUNICATION SERVICES

The Portland Roadster Show Web Site may contain bulletin board services, chat areas, news groups, forums, communities, personal web pages, calendars, and/or other message or communication facilities designed to enable you to communicate with the public at large or with a group (collectively, “Communication Services”), you agree to use the Communication Services only to post, send and receive messages and material that are proper and related to the particular Communication Service. By way of example, and not as a limitation, you agree that when using a Communication Service, you will not:

Defame, abuse, harass, stalk, threaten or otherwise violate the legal rights (such as rights of privacy and publicity) of others.
Publish, post, upload, distribute or disseminate any inappropriate, profane, defamatory, infringing, obscene, indecent or unlawful topic, name, material or information.
Upload files that contain software or other material protected by intellectual property laws (or by rights of privacy of publicity) unless you own or control the rights thereto or have received all necessary consents.
Upload files that contain viruses, corrupted files, or any other similar software or programs that may damage the operation of another’s computer.
Advertise or offer to sell or buy any goods or services for any business purpose, unless such Communication Service specifically allows such messages.
Conduct or forward surveys, contests, pyramid schemes or chain letters.
Download any file posted by another user of a Communication Service that you know, or reasonably should know, cannot be legally distributed in such manner.
Falsify or delete any author attributions, legal or other proper notices or proprietary designations or labels of the origin or source of software or other material contained in a file that is uploaded.
Restrict or inhibit any other user from using and enjoying the Communication Services.
Violate any code of conduct or other guidelines which may be applicable for any particular Communication Service.
Harvest or otherwise collect information about others, including e-mail addresses, without their consent.
Violate any applicable laws or regulations.

Portland Roadster Show has no obligation to monitor the Communication Services. However, Portland Roadster Show reserves the right to review materials posted to a Communication Service and to remove any materials in its sole discretion. Portland Roadster Show reserves the right to terminate your access to any or all of the Communication Services at any time without notice for any reason whatsoever.

Portland Roadster Show reserves the right at all times to disclose any information as necessary to satisfy any applicable law, regulation, legal process or governmental request, or to edit, refuse to post or to remove any information or materials, in whole or in part, in Portland Roadster Show’s sole discretion.

Always use caution when giving out any personally identifying information about yourself or your children in any Communication Service. Portland Roadster Show does not control or endorse the content, messages or information found in any Communication Service and, therefore, Portland Roadster Show specifically disclaims any liability with regard to the Communication Services and any actions resulting from your participation in any Communication Service. Managers and hosts are not authorized Portland Roadster Show spokespersons, and their views do not necessarily reflect those of Portland Roadster Show.

Materials uploaded to a Communication Service may be subject to posted limitations on usage, reproduction and/or dissemination. You are responsible for adhering to such limitations if you download the materials.

Portland Roadster Show does not claim ownership of the materials you provide to Portland Roadster Show (including feedback and suggestions) or post, upload, input or submit to any Portland Roadster Show Web Site or its associated services (collectively “Submissions”). TERMINATION/ACCESS RESTRICTION

Portland Roadster Show reserves the right, in its sole discretion, to terminate your access to the Portland Roadster Show Web Site and the related services or any portion thereof at any time, without notice. GENERAL To the maximum extent permitted by law, this agreement is governed by the laws of the State of Washington, U.S.A. and you hereby consent to the exclusive jurisdiction and venue of courts in San Mateo County, California, U.S.A. in all disputes arising out of or relating to the use of the Portland Roadster Show Web Site. Use of the Portland Roadster Show Web Site is unauthorized in any jurisdiction that does not give effect to all provisions of these terms and conditions, including without limitation this paragraph. You agree that no joint venture, partnership, employment, or agency relationship exists between you and Portland Roadster Show as a result of this agreement or use of the Portland Roadster Show Web Site. Portland Roadster Show’s performance of this agreement is subject to existing laws and legal process, and nothing contained in this agreement is in derogation of Portland Roadster Show’s right to comply with governmental, court and law enforcement requests or requirements relating to your use of the Portland Roadster Show Web Site or information provided to or gathered by Portland Roadster Show with respect to such use. If any part of this agreement is determined to be invalid or unenforceable pursuant to applicable law including, but not limited to, the warranty disclaimers and liability limitations set forth above, then the invalid or unenforceable provision will be deemed superseded by a valid, enforceable provision that most closely matches the intent of the original provision and the remainder of the agreement shall continue in effect. A printed version of this agreement and of any notice given in electronic form shall be admissible in judicial or administrative proceedings based upon or relating to this agreement to the same extent an d subject to the same conditions as other business documents and records originally generated and maintained in printed form. It is the express wish to the parties that this agreement and all related documents be drawn up in English.
